About the position
CEPT University invites applications for the position of Executive/ Senior Executive – CEPT Exhibitions. We are looking for professionals who possess excellent collaboration skills, organizing, coordination, and communication skills with an understanding of various operative processes of Exhibition at the University level.
Roles and Responsibilities:
- Coordinate between internal teams and clients, including exhibitors, to ensure seamless communication and successful collaboration.
- Coordinate and schedule meetings with clients (both virtual and in-person), manage meeting minutes, and handle refreshments for in-person meetings.
- Assist in the preparation and execution of exhibitions by monitoring progress, managing material orders, overseeing the setup process, and ensuring smooth operations.
- Ensure cleanliness of the space and that displays are intact throughout the duration of the exhibition.
- Oversee end-to-end vendor management, including vendor selection, negotiation of terms, performance monitoring, maintaining positive relationships, and ensuring accurate and timely payment processes to support seamless exhibition and administrative operations.
- Ensure that gate banners, posters, and other promotional materials are installed across the campus before the exhibition. Manage the printing and collection of all required materials.
- Coordinate with the Event and Food & Beverage managers for food testing related to the exhibition and to ensure smooth event planning and execution.
- Monitor ongoing exhibitions, addressing any issues promptly to ensure client satisfaction and successful outcomes.
- Collect and process invoices, ensuring accuracy and timely submission to the accounts department.
- Maintain the annual expense sheet and budget to track expenses and ensure financial accountability.
- Prepare contracts for contract employees, ensuring compliance with university policies and legal requirements.
- Manage inventory of exhibition materials, stationery items, and other essentials, ensuring availability for ongoing and upcoming exhibitions.
- Manage coordination for the dismantling of exhibitions and oversee material logistics for items coming from and being dispatched to other cities.
- Provide excellent customer service and support to clients and guests on-site.
- Support teams with urgent requests, report preparations, procurement, and other administrative tasks to facilitate efficient operations.
Academic Qualification
- Master’s Degree is mandatory
- Minimum 4 – 6 years of experience required
Expertise required
- The candidate must be proficient in Microsoft Office.
- Excellent verbal and written communication skills along with vendor management skills
- Strong time management and collaboration skills.
- Demonstrate a high degree of integrity, confidentiality, and teamwork.
- Self-Motivated and should have excellent interpersonal skills.
- Flexible with work timing, should be comfortable in extended working time.
